Worldwide Organization based in Geneva, Switzerland - Global Supply Chain project

Assignment Purpose

The project aims to replace current HQ and field applications to move towards an integrated Supply Chain solution. The solution must deliver the expected benefits as defined in the business case within the defined budget and time schedule. Project Management team is composed of a Project Manager, Project Assurance, IT leader and Project Officer. The Project Officer starts as a key-player in the project. He/She acts as a focal point between internal resources and the multiple IT service companies. The Project Officer focuses on planning, costs, resources and scope/deliverables. He assists monitoring and reporting about the project status, according to strict deadlines and within budget.


Main responsibilities

The Project Officer provides the Project Manager with administrative support (project office, communication, resources staffing). He/She is responsible for monitoring the project progress according to the project quality assurance document.

Key responsibilities :

• Prepare, coordinate, facilitate and report on project management activities necessary to execute the project successfully.
• Provide administrative support
• Ensure project controls are documented and recorded.
• Maintain a detailed view on the status of deliverables.
• Register change requests, apply impacts to the project scope, schedule or costs and resources in order to obtain validation by the Steering Committee. Prepare procurement requests.
• Participate in the development and issuance of project procedures and policies.
• Manage contractors time reports. Review claims/disputed work and advise Project Management on appropriate action. Manage internal resources time reports.
• Manage the project roster including roll on/roll off of resources (business process leaders, key users, ERP experts, consultant, IT development teams,...).
• Prepare all documents and decisional meetings for the Steering Committee.


Training and experience required

• University degree
• Strong familiarity with office and project management software, such as MS Office
• Direct work experience in a project management team, ERP experience would be appreciated.
• Experience within project management/ quality management team
• Experience at working both independently and in a team-oriented, collaborative environment is essential.
• Fluent in English / French

• Reacts to project adjustments and alterations promptly and efficiently, flexible during times of change.
• Ability to read communication styles of team members and contractors who come from a broad spectrum of disciplines.

• Must be able to learn, understand, and apply new concepts & tools.
• Highly organized and structured.
• Ability to effectively prioritize and execute tasks in a high-pressure environment is crucial.


Minimum length of assignment : 1 year.
